LOGISTICS

Room Reservations

CHECK-IN/CHECK-OUT - 3:00pm/12:00pm

Late check out- see front desk to request when you check in.

If you want to extend your stay either pre or post reunion dates:

  • Run of House King Room - $359.00 plus tax and fees per night

  • Run of House Double Room - $399.00 plus tax and fees per night

  • All other room types sold at the hotel’s prevailing rate

We greatly encourage cousins to room together!

  • This helps save space (and money) but more importantly, it strengthens our family unity. You can opt-in to share a room at registration.

Transportation/Parking

Minneapolis/Saint Paul International Airport (Terminals 1 and 2) is the nearest airport (25-minute drive to downtown Minneapolis)

There is no shuttle to the hotel.

Valet Parking is available, along with several nearby parking ramps.

What to Pack

Attire for Meetings – Business Casual


Attire for Evenings – Smart Casual. Some of the dinners will be outside, so please bring layers.


Typical weather for the Twin Cities in June is warm and pleasant with average highs in the high 70s
to mid 80s.

Notes on special events:

  • We will be visiting the Somerset Country Club on Sunday afternoon. Please no denim, hats, t-shirts or sweatshirts. Collared shirts requested for men.

  • While it is not required to dress for dinner, Friday and Saturday evenings will both be casually elegant affairs, and some cousins may enjoy bringing dressier attire

  • We will be touring family history sites on Friday afternoon. We will be on and off a bus and there will be some light walking involved.

  • Saturday afternoon will be on your own. Depending on your preferences, we suggest walking shoes, swimsuit, and a light jacket.

 

Meals

All meals will include the entire family, and will be buffet service with vegetarian, vegan, and gluten free options available.

The Four Seasons Hotel Minneapolis has a full-service restaurant and bar (Mara), as well as a casual coffee and breakfast shop in the same building (Socca Café).

All restaurant, bar, and gift shop charges will be at your own expense.

RIC POLICIES

Cancellation Policy

The RIC Board is committed to being a good steward of shareholder assets and ensuring that future generations have funds to support family unity. We recently updated our cancellation policy to minimize avoidable expenses.

 

We are asking family members to help keep our reunion costs reasonable. RIC must pay for your room(s) starting on May 25, 2024. If you cancel after this date, you will be asked to reimburse Rock Island Company for your hotel expenses.

 

Here are the dates you need to know about:

  • February 6 – registration opens

  • April 15 – registration deadline

  • May 20 – registrations are final, cancellation charges begin

The registration form will ask you if your plans are final. If they are not, we have added a field to enable you to tell us so. Should you need to give that response, we will reserve you a room and contact you during the week of May 12th to confirm your registration. If you choose to stay on the “maybe” list after May 20th we will need to give your room back to the hotel and will not be able to guarantee you a room. However, as always, we will make every effort to accommodate you because we want everyone to attend the reunion!

 

Costs That RIC Will and Will Not Cover

  • Lodging: Rock Island Company will cover your hotel room and tax for three nights: Thursday, June 19. Friday, June 20 and Saturday, June 21, 2025.

  • Business Meetings: Rock Island Company reserves the right to invoice you for your expenses if you come to the reunion but do not attend the business meetings.

  • Transportation: Rock Island Company will not reimburse transportation to or from W. Family Meetings, including airfare, train fare, taxi or uber/lyft, personal mileage, or rental car. Transportation to and from the airport and hotel, or around town during your free time are also at your own expense.

  • Childcare: As this is an 18+ reunion, RIC will not cover the cost of childcare. Should you wish to bring a personal nanny, you will need to cover the entirety of their room and board costs.

  • Cancellations: If you cancel before May 20, 2025, at 11:59pm Central, you will not be charged. If you cancel after that date, you will receive an invoice from Rock Island Company for your room and board expenses. Exceptions may be made for illness, military service, or other extenuating circumstances.

Family Entity Board Meetings

Each family entity covers the room cost for board members and their families if they are required to arrive early to The Four Seasons.

  • Clearwater Management Company will meet by zoom and in person on Wednesday, June 18, 2025.

  • Clearwater Investment Trust, Rock Island Company and Weyerhaeuser Family Foundation will meet on Thursday, June 19, 2025.

Rock Island Company Principles of Gathering

The Rock Island Company seeks to host events where cousins connect, learn, and play together in a way that celebrates our family unity and our individuality. We, the cousins who comprise the RIC board, have adopted these guiding principles for RIC activities and events:

 

We encourage enthusiastic participation, caring, curiosity, camaraderie, cooperation, collaboration, and having a great time at family gatherings. We aspire to host events that honor our common heritage and our uniqueness as individuals. We welcome every cousin regardless of how they joined the family and whether they come alone or with large nuclear families. We welcome cousins for our diversity of beliefs, race or ethnicity, abilities, sexual orientation, gender identity or expression, cultural background, financial situation, interests, or life experiences. We strive to greet with equal joy those who may be new or finding their way, and those who feel right at home at RIC events. We acknowledge that family dynamics can be complicated. Through our gatherings we hope to nurture a family that will accept you as you are, as you choose to participate, and as changes happen in your life.

GET INVOLVED

Give a FRED Talk or participate on a SARAH Panel – This year, we’re celebrating family history and family stories. We invite you to share your ancestry research, cherished or funny memories, gifts, advice, or lessons learned from relatives. We would also love to hear about collaborative projects, endeavors, or adventures you have had with cousins. In honor of the diverse histories that make up the W. family, we especially encourage married-in cousins to share stories from their families of origin.

Host a morning walk – Cousins who enjoy an early morning walk will join you!

Help organize a Saturday afternoon group activity – from the Minnesota Institute of Art to a walk along the Mississippi River; from poolside chats to shopping in the North Loop, if you’d like to help coordinate a group activity, let the host committee know.
